The Greenbelt Takeaway – What is it?

The Greenbelt Takeaway is our exhibitors village; a space for your organisation to network with our audience of 12,000 festivalgoers, engaging them with your work and the difference you’re making in your communities and around the world. The Takeaway village is open from the Friday of the festival, which this year runs from Thursday 22nd to Sunday 25th August 2024.

Each year, 30 or so organisations – ranging from single-issue, grassroots groups to international charities – join us and our festival Sponsors, Associates and Partners. And we also make 50% of our 3×3 tents available at a reduced rate to smaller charities to enable a wider range of organisations to be part of the takeaway.

The title, The Greenbelt Takeaway, reflects our belief that the festival isn’t just for August Bank Holiday weekend, but packed full with ideas and resources for festivalgoers to take back into their everyday lives. Our exhibitors are very much part of our festival experience and supporting our community.

Housed in a street-market set-up, the Greenbelt Takeaway is situated at the crossing point between The Glade Arena (with our mainstage venue) and The Lawn area (with the ideas, Canopy and Playhouse venues). In addition there will be a few smaller clusters of exhibitors close to like-minded organisations and close to where resonant programming venues are located.

All you need to know about joining the Greenbelt Takeaway

Greenbelt festivalgoers are extremely receptive, engaged and interested to find out more about organisations doing great things. They get involved in issues and spend time getting to the heart of the the things that matter. Although it may be tempting for exhibitors to sit behind a desk, we find that organisations who wait to be approached in the festival setting can sometimes be overlooked. Your Takeaway tent does not have to be staffed at all times, but festivalgoers are more likely to engage with you if they can stop and ask questions whenever they are passing.

It’s great to think creatively about your organisation, and get whole families of festivalgoers engaging with your issues in fun and thought-provoking ways. Games and craft activities are always popular, as are photo petitions, exhibitions, art, photography. (We’re happy to pitch in ideas if you’re out of inspiration.)

Each Takeaway tent is like a mini-exhibition space, and many organisations use pop-up displays. Bringing display boards or something to hang banners from is also recommended to make your tent appealing and intriguing. All display materials must be listed on the Health & Safety form which we’ll send out closer to the event.

Please note: Our Greenbelt Takeaway tents are 2m high and we are currently unable to offer spaces higher than this.

The Greenbelt Takeaway is located as follows:

The main Takeaway village will be sited at the bottom of the Glade Arena at the crossing point between the two hubs of venues at the festival. Each Takeaway tent will have a carpeted floor (or you can upgrade to a plastic floor).
In addition to the main Takeaway area, we are exploring the possibility of having smaller clusters of exhibitors close to like-minded organisations and close to where resonant programming venues are located (for instance, for the last few years we have sited organisations focused on the environment close to the Hot House, our climate-focused venue). We have a number of other venues with ‘campaigning’ / activist focuses this year and we’re exploring our site plan to see if we could do more in this vein. Exact details are yet to be confirmed, but we will update you in the next few weeks

Takeaway tents can be closed up at the end of opening hours each day and the main Festival Village is closed to festivalgoers throughout the night, with night stewards on duty. (Greenbelt takes no responsibility for your property over the festival weekend.)

* Please note all fees stated are exclusive of VAT

** 50% of our 3×3 tents are available at a subsidised rate for registered charities with an income of less than £250,000. We do this to allow a number of smaller charities exposure to our audience. We will verify your income on the Charity Commission website, so please ensure you apply for this only if your last audited accounts show income less than £250K.

Terms & Conditions

Please read the following carefully, and ensure that all of your staff and volunteers are aware of their importance. Greenbelt reserves the right to ask organisations that fail to comply with these terms and conditions to leave the site.

T&C’s	Interpretation
Exhibiting	The purpose of exhibiting in the Greenbelt Takeaway must be highlighting and profiling the work of organisations sympathetic to Greenbelt and to network with festivalgoers and other organisations. Takeaway exhibitors are not permitted to undertake any money-collecting activities on the Greenbelt site in the form of fundraising (this is the exclusive right of our main partner agreement). On-site signup to petitions or campaign lists, as agreed with Greenbelt, is permitted. On-site signup of new supporters by direct debit is allowed. We are looking to host a diverse range of organisations that are complementary to Greenbelt’s values and work. We will favour groups who are inclusive and tolerant, respectful of the rights of others, respectful of those of differing religious positions, and those who do not discriminate on grounds of race, sexual orientation or gender. We withhold the right to reject applications.
Liability	Any organisation exhibiting in the Greenbelt Takeaway must have current Public Liability insurance with a limit of indemnity of not less than £2m. A copy of the policy cover certificate must be supplied to the Greenbelt Office by 30th June. Please ensure that your copy covers the current festival dates. Failure to supply this policy will mean that your organisation will be unable to exhibit.
Health & Safety	Greenbelt requires all organisations to complete and return a Health and Safety Risk Assessment Form, which we will send to you. Failure to complete and return forms could result in loss of your exhibition space. (Please consider risks when planning the content of your stand – this includes no flammable material, heavy stands, etc.) Health and Safety inspections will take place over the weekend, so please follow the directions of the venue volunteers.
Appliances	Any electrical equipment brought onto site must have a valid PAT certificate (Portable Appliance Testing Certificate). Without this certificate equipment may not be used. It is advisable to bring extension leads especially for larger spaces. All venue electricity infrastructure must not be moved, as this can cause safety issues.
Opening Hours	Friday 10am-8:00pm Saturday 10am-8:00pm Sunday 11am-8:00pm* *The Greenbelt Takeaway will close for the morning on Sunday, during communion. All timings are at the discretion of the venue manager. Tents can be staffed or unstaffed, but Greenbelt takes no responsibility for your property over the festival weekend.
Arrival, setting up and dismantling	You will receive notification of the unloading procedure closer to the time, however, please plan to arrive on Thursday 22nd August from 10am onwards. The Greenbelt Takeaway area will open at 10am on Friday 23rd August. The Greenbelt Takeaway area is open until 8pm on Sunday 25th August and – for health and safety reasons – under no circumstances will exhibitors be permitted to pack up early. Please bear this in mind when planning and applying for the festival.
Trading	Limited trading is permitted within the Greenbelt Takeaway, but should not be the purpose of exhibiting. Due to the public nature of the venue, anything resembling a petty cash tin should not be viewable to the public, nor should cash be left in the Greenbelt Takeaway tents overnight. Due to agreements with existing suppliers, exhibitors are not permitted to sell books, music or any other merchandise that would otherwise be sold in either G-Store or in the bookshop. If you wish to sell books or music, please contact the office at HERE and ask for details.
Leafleting and Fly-posting	Organisations are not permitted to distribute any literature outside of their allocated space, either within or outside the Greenbelt Takeaway. Similarly, fly-posting is not permitted. Organisations found to be responsible for this may be asked to leave the site.
Sustainability	Please think about sustainability when deciding on the items you plan to bring to site for display and distribution. Please don’t bring any single use plastic items to give away and consider printing items on sustainable materials, including recycled and recyclable paper.
Accessibility	All activities and engagement opportunities within your stand should be accessible or provide a suitable alternative for those unable to participate due to access reasons.
Camping	Camping costs are included in your ticket fee. Information on other accommodation is available from the Greenbelt website. There is no separate area for exhibitor camping, you may use any part of the general camping or Campervan Field area.
Fees & Payment	All fees stated are exclusive of VAT. Successful applicants will be invoiced for the full exhibition space fee with their notification of acceptance. A second invoice will be sent upon confirmation of the number of exhibition tickets and any upgrades required. All payments must be made within 30 days of the invoice date. You will not be allowed to exhibit unless your full balance has been paid before the festival.
Cancellation	In the event of cancellation after successful applicants have been issued an invoice only 50% of the stand fee will be refunded until 30th June, the total amount will be due thereafter. Under no circumstances will full refunds be given.
